Shield Message Rules

Description

Once a domain is activated as a Shield organization, Shield automatically creates message rules in each user’s mailbox to ensure email delivery aligns with that user’s preferences—such as trusting a sender or silencing messages to a specific folder. These rules are essential and should not be deleted or modified by users or Shield administrators.

In addition, Shield applies transport rules at the Microsoft 365 level. The mailbox rules act as a fallback, ensuring messages are still delivered to the correct location if there is any delay in transport rule execution or Shield API processing. While these rules are redundant by design, they play a critical role in maintaining reliable and consistent message delivery.

Shield Message Rules

The following is a list of rules, listed in priority order, that Shield automatically adds to a user's mail client during onboarding:

  • Shield Archive Email Rule for Message Routing
  • Shield Inbox Email Rule for Message Routing
  • Shield Junk Email Rule for Message Routing
  • Shield Deleted Items Rule for Message Routing
  • Shield Bundled Email Rule for Message Routing

Bundled email is available to Shield Pro: Bundler users.

If Outlook message rules for Shield are not listed in the order above, please move rules to match this order in order for optimal message delivery.
