Details
Shield determines where each message will go based on trust decisions, security risks, and other email hygiene measures. The Security Briefing is a continuous live view that shows Shield's decisions for each message delivered to and sent by a Shield user.
Security Briefing Notification
A message is sent to each Shield user to indicate how many messages can be reviewed. Clicking on Review Now launches the Security Briefing in the Shield portal for the user who received the briefing.
Use the +Add Account feature in the User Menu for customers who manage multiple addresses.
Shield Admins who click on Review Now will view their Briefing page as a Shield user and will need to open a separate Shield tab and click Control Mode to return to their Shield Admin permissions after reviewing the Briefing if no other Shield Admin page was open prior to viewing the Briefing.
Security Briefing
Shield Admins view Shield user briefings from the Shield user page by clicking on View Security Briefing. Shield users click the Security Briefing card.
The Security Briefing page is the hub for viewing messages as they originally arrived to Shield as well as their current status via an X-ray panel. It lists the email Shield kept out of a Shield user's inbox over the last 30 days, along with email from new senders. Filtering and Preferences allow customization of the Security Briefing screen as well as scheduling of the Security Briefing email notification. A Guide is provided to help understand the Briefing view icons.
Reading a Row
Each row includes the following, from left to right:
- A checkbox for taking an action on one or more messages at once
- The original trust decision for the sender
- The sender's name and, when hovering over it, the address
- Shield's original delivery decision
- The original risk level of the message
- The subject of the message
- A preview of the message body
- The time or date of the original delivery action
View Original and Updated Decision Results
The icons on a row are a record of the moment the email arrived: what Shield decided, how the sender stood, how risky it looked. They never change.
Click on a message to view a panel version of its X-ray, which shows where the message is at this moment and the current trust decision of the sender.
The two views can disagree, and that is normal. When a message is moved or a sender's trust decision is changed, the panel shows the update, and the row keeps its original record.
Hover over any icon to view its name or action. A key for all sender, decision, and risk options is available in the Guide.
Messages for Review
A green dot marks an email you have not reviewed yet, and the pill at the top of the list counts them. Reviewing is reading: scroll up through the list, and each email is marked reviewed once it has been in view for a few seconds. Open one to look closer, or use the pill's to mark everything reviewed at once. In most mailboxes, email you have already read, moved, or deleted there counts as reviewed here too.
Received
One or more rows can be checkmarked, or an email can be clicked to open its X-ray panel. From here, the location of the message can be updated to: Inbox, Junk, Jail, Trash, or Archive. The move happens in the mailbox the same as if it the message had been dragged to the corresponding mailbox folder. Opening an email also shows customized settings for the individual sender. Changes can be made here to Trust or Silence a sender. The current message, as well as all of the sender's future low- or no-priority messages, go to the chosen location.
If a message is pending a veto request, the row displays a until a veto decision has been made.
Confetti will appear when all messages have been reviewed.
Sent
The Sent tab shows any outbound messages that were held for any reason. Clicking the message row to open the X-ray panel, review the message, then choosing Deliver or Unsend clears the message from the Sent tab. The Held Before Delivery page offered in the Guide explains why outgoing email gets held and what to do if a Shield user suspects their address is being misused.
Filters and Preferences
Filters change what you are looking at right now: which senders, which decisions, and how much risk. Preferences set where those filters start, what your notifications include, and when they arrive.
Preferences include filters and a customizable notification schedule.
Keyboard Shortcuts
Everything on the briefing has a shortcut key. Hold Shift and each control shows the letter that corresponds to the feature. All keyboard shortcuts are offered in the Guide.
With an email open in the X-ray panel, the move to where it already sits is greyed out and its key does nothing. With rows checkmarked, every move is offered.
The Security Briefing App
When Security Briefing is opened via a web browser, an option to download a stand-alone app will be offered in the location bar.
Click to download and open the app, install it. When open, the app can be used all day as needed and updates in real time to match the new sender and silenced messages in a user's mailbox.
If the app is not available in the location bar check the settings of the browser to ensure that app downloads are permitted.
Use the +Add Account feature in the User Menu for customers who manage multiple addresses.
JavaScript must be enabled to add another Microsoft account in the Security Briefing app.
